Booking Policy

At WELLFITMIND, we aim to provide an inclusive, consistent, and respectful environment for all participants. Please review the following booking policies carefully before registering for any session, class, or event
These policies apply to all WELLFITMIND offerings, including:
- In-person group classes
- Virtual/online sessions (live or pre-recorded)
- Private sessions and wellness coaching
- Workshops, courses, or special events
The requirements for booking services with us are as follows:
- Advance registration is required for all sessions.
- Payment is due at the time of booking unless otherwise arranged.
- Bookings can be made online through our official website or booking platform.
- A confirmation email will be sent upon successful registration
For Group Classes (In-Person or Virtual):
- You may cancel or reschedule your class at least 24 hours in advance for a full credit or refund (if applicable).
- Late cancellations or no-shows may be charged the full class fee and are not eligible for credit.
For Private Sessions:
- Cancellations must be made at least 24 hours in advance.
- Late cancellations (within 24 hours) will be charged 50–100% of the session fee, depending on your package or agreement.
For Group Classes (In-Person or Virtual):
- Cancellations must be made at least 7 days in advance for a full refund.
- No refunds for cancellations made within 7 days unless the spot can be filled.
Our rules for no-shows are as follows:
- If you do not attend a booked session and fail to cancel within the allowed window, it will be considered a no-show.
- No-shows are not eligible for refunds, credits, or transfers.
Our policies for late arrivals are as follows:
- Please arrive/log in on time. For in-person classes, doors may close 5 minutes after start time.
- For virtual sessions, entry may be restricted after a brief grace period to maintain session flow and safety.
- WELLFITMIND reserves the right to deny late access and count the session as a no-show.
Our policies for class minimums and cancellations are as follows:
- We reserve the right to cancel a class or session if the minimum enrollment is not met or in the event of instructor illness, emergencies, or unforeseen circumstances.
- If WELLFITMIND cancels a session, you will be offered a full refund or credit, or the option to reschedule.
Our policies for the waitlist are as follows:
- If a class is full, you may join the waitlist. Should a spot become available, you’ll be notified via email.
- You must confirm your attendance within the time specified in the email to secure the spot.
Our policies for refunds are as follows:
- All sales are final, unless otherwise stated in the cancellation policy above.
- Refunds are not issued for missed classes, late logins, or dissatisfaction with results.
- Exceptions may be made in cases of documented medical emergencies at the discretion of WELLFITMIND management.
Our policies for virtual sessions are as follows:
- Ensure your internet connection, device, and environment are suitable for participation.
- WELLFITMIND is not responsible for technical issues on the participant’s end.
- Links to join virtual sessions will be sent via email in advance of the session.
By booking a session, you agree to:
- Follow our Liability Waiver and Terms & Conditions
- Communicate openly about health conditions, limitations, or accessibility needs
- Treat WELLFITMIND instructors and participants with kindness and respect
